Wedding Planning in Cleveland: Creating a Resort-Style Celebration
When the Vision Was a Destination Wedding Without Leaving Home
Maggie and her partner wanted their wedding to feel like a destination celebration at a resort, but they wanted it in Cleveland, their hometown. That combination of ambition and sentimentality is exactly the kind of challenge HeatherLily was built for. The goal was clear: create an immersive, high-end experience that would make guests forget they were minutes from home.
What followed was one of the most rewarding and, admittedly, one of the most unpredictable weddings we have ever produced.
Cleveland Wedding Day Coordination: How Our Team Handled a Rainstorm
Every weather app was calling for rain to stop right at what would have been the end of the ceremony. The couple desperately wanted to get married outside and made the decision to push the ceremony back to make it happen. The only problem: guests were arriving on the original schedule, and a torrential downpour was soaking the outdoor ceremony space along with several items that could not get wet.
If we had waited to set everything until the rain stopped, the ceremony would have been delayed by several hours instead of just thirty minutes. So every single vendor on site worked as a unified team to pull off what can only be described as coordinated magic.




The Venue Team
We worked with the venue to adjust the entire timeline with the kitchen and to have staff ready to host a mini cocktail hour as guests arrived, keeping everyone comfortable and entertained while we waited for the sky to clear.


The Rental Team
The rental company had all hands on deck to set chairs that were not weatherproof. One team member would place a chair and another would immediately follow with a tarp to protect it. When the rain stopped and we were comfortable letting guests head to the ceremony, the team removed every wet tarp and literally hid them in the woods. It was a sight to see.
Photo & Video
The photography and video teams never broke a sweat. They scouted new covered locations for portraits in the rain, shifted their entire detail shot schedule, and then captured the untouched ceremony setup in seconds flat as guests were approaching behind them. Our LA-based photographer is still baffled by the intensity of shifting plans around a Cleveland thunderstorm.


The Floral Team
The floral team set up an eight-foot floral arch and floral aisle pieces for hours in the pouring rain. Their commitment to the couple’s vision never wavered.
The Musicians
The ceremony musicians brought throw rugs from their own home to protect the sound system from wet grass. Venue team members helped grab umbrellas from the pool area to shield the instruments and equipment from the rain. And because the umbrellas did not match the aesthetic, the video team even edited them out of the drone footage.
Behind the Scenes
While all of this was happening, I was back and forth reassuring the couple that everything would be perfect and that we would get them married outside. I also tried to conceal the fact that I was soaking wet with shoes filled with mud so as not to alarm anyone. Each time I walked inside, Maggie’s bridesmaids were doing an excellent job keeping the energy positive and supporting their friend. It takes a village, and this was the definition of one showing up.
Cleveland Wedding Design Details That Created a Resort Experience


Stationery & Personal Touches
Invitations were printed on handmade cotton paper in soft neutrals with delicate floral details. Menus were wrapped with vellum featuring the same lace pattern found on Maggie’s dress. The design thread started with save-the-dates, carried through welcome bags, and did not stop until guests headed home with custom water bottles for the ride.

The Cake
The cake was a seamless transition from fresh flowers to sugar florals. No one could tell where the fresh ended and the sugar began, which is exactly the kind of detail that elevates a celebration from beautiful to unforgettable.


Venue Transformation
The reception space is normally accented with dark wood. We draped every dark wooded area and even adjusted the power in the room so the brown ceiling fans would never turn on, allowing us to add greenery and florals to conceal them entirely. The space typically features dark bistro lights. The floral team painstakingly removed each bulb, packaged it safely, and stored it during the week of the wedding. They then used the existing strings and wires to install an entire ceiling of greenery and white roses. After the event, they carefully replaced every single bulb without a single issue.

A Nod to the Proposal
The groom proposed at Auberge du Soleil in Napa, and after the big ask, the couple popped a bottle of Veuve Clicquot. To bring things full circle, guests were greeted post-ceremony with bookshelves filled with Veuve and a note from the couple inviting everyone to celebrate together.
